Producer Role & Responsibilities

Role Overview #
The Producer is responsible for the overall coordination and execution of the Sunday morning service. This role ensures that all technical, logistical, and personnel elements are in place so that the service runs smoothly and the congregation can worship without distraction.
Friday #
~12:00 PM #
Some time in this time slot, send out the Service Team email directly from Planning Center (PC).
- Log into PC, navigate into Services and choose the specific plan for the upcoming Sunday service. Click on the “Teams” tab, then click the mail icon in the upper right corner.
- Make sure the following teams are selected: Band (FV), Production, Speaker, Announcements. Use the “Add” button if these 4 teams are not immediately selected. Click Next.
- In the top left corner will be a drop down menu with template options for the email. Choose “Prov Fairview Service Team - Friday Email”. Add the date into the header (e.g. “Prov Fairview 9/6 Service Team - Friday Email”). This will send to all listed recipients and include their assigned roles for Sunday. Click Send, and you are done.
Sunday: Pre-Service Timeline #
8:00 AM — Arrival #

Place the box of bulletins on Jenn’s desk onto the window sill at the top of the stairs, opposite side from the elevator.

At 8:30am, rope off the stairs. The rope and signs are behind the rollable Connection table on the bottom shelf, or in the cabinet in the lobby.

Print sermon notes
- 1 copy for the A/V booth

Print service flow from Planning Center
- 1 copy for the A/V booth
- 5 copies for the front sanctuary pew for the walk-through

Print announcement scripts for announcers
- 1 copy for the A/V booth
- 2 copies for the front sanctuary pew for announcers.

Turn on the Lobby TV downstairs in the foyer, volume at 20 is usually fine. Remote controller is on the shelf behind the rollable Connection table.

Turn on the Confidence monitor - remote is labeled in the AV closet at the front of the sanctuary or on the shelf behind the pastor’s old podium.

Turn on all lights at the front of the sanctuary, switch is to the right of the secret stairs.

Ensure Power Rack in Tech Booth and Soundboard are Powered On (white, small rectangular stand alone on/off switch device is under the mixer console desk).

Ensure ProPresenter, ATEM, and Soundtrack applications are opened on Mac. They are usually kept on.

Initiate PreService slides loop with Service Start Countdown Timer. Click the new bar on the monitor and click the first slide.

Power on Projector from the browser tab on the booth computer (Click Chrome icon at the bottom, click through the tabs until you see the projector tab. Click On.)

Put the pastor's microphone and pack on the front pew. Check battery level and swap out if needed. When he arrives, assist him in putting it on.

BATTERIES - please check all battery needs (wireless mics, IEM packs, pastor mic, etc) Up in the booth, confirm the IEM controller switch is on. You should hear a fan running.
9:20 AM — Production Walk-Through #
Note: Delays may push this back, but the walk-through must begin no later than 9:30 AM.
- Begin with 30–60 seconds of silence and prayer
- Talk through the full service flow with the team:
- Announcements - Check in with announcers about their announcement scripts and dialogue
- Transition to Worship
- Worship
- Transition to Sermon (any Scripture readings requested from Pastor?)
- Sermon
- Transition to Worship
- Worship
- Benediction/Closing Prayer
- After talk-through, do the walk-through
_ Have announcements team come up to the podium, check their microphone and speak through an announcement or two
_ Then, the pastor/speaker can come up and test their microphone.
_ Make a plan for any props or podium movements (assign someone)
_ Ensure everyone involved understands the service flow and has any questions answered
9:45 AM — Team Prayer #
- Gather the full team at the front of the sanctuary for prayer
9:55 AM — Team Prayer Ends #
- Go up in the Tech Booth and start the Soundtrack music streaming
- Ensure Pre-Service slides are running on the projector in the sanctuary and are showing the Service Countdown Timer
- Ensure Pre-Service slides and Soundtrack music are playing on the livestream Lobby TV downstairs in the foyer
- This is your time to eat and get breakfast in the kitchen if available. On communion weeks, take communion in the kitchen with other volunteers who are not able to take it during the service
10:30 AM — Service Begins #
- Confirm the team is in the booth
- Our announcers usually know to go up at the end of the timer, but give them a thumbs up to start just in case!
11:45 AM — Post-Service Responsibilities #
- Collect all IEM packs and return to the booth, leave on top of the Sennheiser IEM receivers to the left of the mixing board. Make sure they are turned off.
- Place any rechargeable batteries in their recharging stations for next Thursday rehearsal
- Collect all iPads and return to the booth, plug them into the charging station located under the desk. No need to turn them off.
- Collect pastor microphone and pack, turn off pack. Store in the cabinet in the narthex (back of the sanctuary).
- Turn off the confidence monitor. The remote is labeled and in the AV closet at the front of the sanctuary behind the old pastors podium.
- Turn off lights at the front of the sanctuary.
- Collect all the monies and take to the WC office to John Castelluccio/Michelle L. Two people need to collect the monies together to insure integrity. Initial outside of the envelope.

- Confirm the Children’s ministry has your phone number in case of emergency or need to message a parent via ProPresenter
- Check in with Announcers that they’re comfortable with the process during the service.
